Privacy Policy
Effective October 18, 2026
Everhold Insurance ("Everhold," "we," "us") respects your privacy. This policy explains what information we collect through this website, how we use it, and the choices you have. If you have questions, contact us at support@everholdinsurance.com or (602) 853-6358.
Information we collect
We collect the information you choose to give us when you fill out a form on this site:
- Contact information: your name, email address, phone number, and company or entity name.
- Property and insurance information: property addresses, number of properties, property status, coverage needs, current carrier, renewal dates, closing dates, notes, and any declaration pages or other documents you upload.
- Book of business information: if you use our Book Sale Preview, the figures you enter about your book (such as commission revenue, the share from life, health, or Medicare, policy counts, retention, book mix, tenure, carrier concentration, revenue trend, the state of the book, your timeline, and how involved you would like to be after a sale), the preview we show you, and whether you agreed to calls and to texts (asked separately). If you choose, we email you a copy of your preview. We keep a copy of preview requests in our internal Google Sheets workbook to follow up with you.
- Job application information: if you apply to join our team, your licensing details, experience, current agency, LinkedIn profile, resume, and anything else you choose to tell us.
- Portfolio Ledger account information: if you request a Portfolio Ledger, we create an account for your email address and store the property, policy, coverage, renewal, and property value information we add to your Ledger, along with documents you or we upload and requests you send through it. You sign in with a one-time link sent to your email, so we never store a password for you.
- Consent records: whether you agreed to receive calls and texts, and when.
- Life Changes Survey: if you complete our Life Changes Survey, your preferred contact details, whether your mailing address changed (and the new address), the life and property changes you check, and anything else you tell us. We use it to review your coverage before renewal. The personal survey link in our renewal emails identifies you so we can fill in what we have on file. It can't be used to open your Ledger.
- Event registrations: if you RSVP to an event, your name, contact details, number of guests, and any questions you send, plus whether you attended.
- Emails and scheduled calls: if you email us or reply to our emails, we keep a copy with your record so anyone on our team can help you. If you book a call through our scheduling link, we record the booking details.
- How you found us: if you arrive through a referral partner's link or an ad or campaign link, we note that source (for example the partner code or campaign name) and the website that sent you. We store this in your browser for up to 90 days and attach it to any form you submit, so we can thank the right partner and know which marketing works. This source note itself is not used to track you across other websites; see Advertising and analytics below for the ad tags we may use.
- Quiz, checklist, and lookup answers: if you use our Portfolio Risk Score, LLC Mismatch Check, checklists, or guides, the answers and property details you enter and the result we show or email you.
- Public property records: to build your Ledger or run the LLC Mismatch Check, we look up the properties you send us in county assessor records, such as the owner of record, building details, and assessed value.
- Form use counts: we count how many people start and finish each form, and which field someone was on if they leave without sending it. We record the field's name only, never what you typed.
- Technical information: the page you submitted a form from, the time of submission, and your browser type. Our hosting provider may also keep standard server logs, such as IP addresses, for security.
We don't ask for Social Security numbers, bank details, or payment information through this website. Please don't send them.
Advertising and analytics
We may use advertising and analytics tags from Meta (Facebook and Instagram), Google, and LinkedIn on our public pages. They help us measure which ads bring people to us and show our ads to people who have visited our site. These companies may set cookies or use similar technology in your browser, and may collect information such as the pages you visit, when you visit, your device and browser, and the ad that brought you here.
When you finish one of our forms, we tell these companies only that a form of a certain type was completed (for example, "Portfolio Ledger"). We never send them your name, email, phone number, property addresses, or anything you typed. Each company uses the information under its own privacy policy. We don't put these tags on your Ledger, the Life Changes Survey, or our internal pages.
Your choices: you can turn the tags off for this browser below. We also turn them off automatically if your browser sends a Global Privacy Control signal. You can also change your ad settings with Meta, Google, and LinkedIn, or use the industry opt out at optout.aboutads.info.
How we use your information

- To shop coverage with insurance carriers on your behalf when you ask us to.
- To contact you by email, phone, or text about your request, your policies, and renewals.
- To prepare your Book Sale Preview, respond to you, and evaluate a potential purchase of your book of business.

- To operate, secure, and improve this website, and to meet legal and regulatory obligations.
Calls and text messages
If you check the consent box on one of our forms, you agree that Everhold may call and text you at the number you provided, including with automated technology and prerecorded messages, about insurance services. Consent is not a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We keep a record of your consent and when you gave it.
We do not share mobile phone numbers or text messaging consent with third parties or affiliates for their marketing or promotional purposes.
How we share information
We do not sell your personal information. We share it only as needed to serve you:
- Insurance carriers and wholesalers, when you ask us to quote or place coverage, so they can underwrite your request.
- Referral partners: if a partner referred you, we may let them know you reached out. We do not share your policy or property details with them without your permission.
- Service providers that help us run our business, such as website hosting, data storage, email delivery, appointment scheduling, customer relationship management software, and AI document processing that reads declaration pages so we can fill in your Ledger accurately, and the advertising and analytics companies described above. They may use your information only to provide services to us.
- Legal and regulatory reasons, when required by law, regulation, or legal process, or to protect our rights and the safety of others.
- Business transfers, if Everhold is involved in a merger, acquisition, or sale of assets, subject to this policy.
How long we keep it
We keep information for as long as needed to serve you, maintain business records, and meet legal and regulatory requirements for insurance agencies. When we no longer need it, we delete or de-identify it.
Files uploaded through this website, such as declaration pages and resumes, are deleted automatically one year after they are uploaded. The details we recorded from them, like the policy information on your Ledger, are kept as described above.
When you answer an intake questionnaire with us by phone or in person, we keep your answers for one year after the last change, then delete them. Dates of birth and driver's license numbers are encrypted.
How we protect it
Form submissions are sent over encrypted connections and stored with access limited to authorized Everhold staff. No method of transmission or storage is perfectly secure, but we work to protect your information with reasonable safeguards.
Your choices
- You can opt out of texts by replying STOP, and ask us to stop calling or emailing you at any time.
- You can ask to see, correct, or delete the information you sent us by contacting us at support@everholdinsurance.com. Some information may need to be kept to meet legal or regulatory requirements.
Children
This website is meant for adults. We do not knowingly collect information from anyone under 18.
Changes to this policy
We may update this policy from time to time. We'll post the new version here with an updated effective date.
